How To Qualify PM Experience For The PMP Application Form?

 

The Project Management Institute (PMI®)  accredits the world’s most sought-after professional certification, Project Management Professional (PMP®) certification.  The eligibility criteria for PMP certification as mentioned by PMI is,

  • Secondary degree (high school diploma, associate’s degree or the global equivalent)
  • 7,500 hours of leading and directing projects
  • 35 hours of project management education OR CAPM certification

OR

  • Four-year degree
  • 4,500 hours of leading and directing projects
  • 35 hours of project management education OR CAPM certification

The eligibility criteria you fulfill must be neatly recorded in the PMP Application form. It is suggested to refer the PMI Handbook to know the step by step procedure to fill the application form. Recording your project management experiences of 4,500 or 7,500 hours is one of the critical tasks in filling the PMP application form. Project management experience is required to be filled in hours. The qualifying hours are based on five domains of project management- Initiating, planning, executing, controlling and monitoring, and closing.

 The qualifying hours of project management experience is to be filled for each project with respect to domains. PMI rejects the application if you do not explain your project management experience and project individually. It is time consuming and critical process. PMI provides 90 days to fill the application form. 

It is advised to work on qualifying hours in a spreadsheet or in table format to record your project management experiences clearly. The process of filling project management experiences in a PMP application form requires 5 sets of information.

  1. Project information
  2. Details of the organizations (if multiple) you work/worked.
  3. Reference contact in each organization
  4. Hours of project management experience per each domain
  5. Summary of Project management experience

1. Project Information

 The following information is required about the project you worked on.

  • Industry you worked
  • Project title
  • Start and end date of the project
  • Role or Designation
  • Start and end date of the project

2. Details of the organizations (if multiple) you work/worked.

The following information is required about the details of the organizations you worked or currently working:

  • Postal address
  • Locations
  • Contact details
  • Email id

3. Reference contact in each organization

The reference contact to be given from all the organizations you worked or currently working while filling the application form to validate your project management experiences. PMI randomly selects applications for the audit process.

During the audit process, the signature of the reference contact has to be taken. Choose your reference contacts carefully.

4. Hours of project management experience per each domain

The project hours to be calculated specifically in each domain. The total of 4500 or 7500 project hours or more is to be recorded in the application. It is not necessary to have experience in all the processes in the project. But in overall projects, there have to be project hours in all the processes.

You can use the following calculation,

Project hours = Average no. of working days in a month x Average no. of productive hours a day x No. of months worked on that project

The number of working days in 4500 hours:

Suppose you work for 8 hours a day and for 5 working days, it is 40 hours a week.

There are 52 weeks in a year,

Considering approximately 2 weeks of holiday in a year, it is (40*50) = 2000 hours in a year and 250 working days.

Approximately, 4500 hours= 750 working days or 2.5 years

Note: It is not necessary to have continuous project management experience of 4500 or 7500 hours

Each project hours are recorded in all the five processes accordingly.

5. Summary of project management experience

In this section, you require a brief summary of all the projects handled. The summary should include,

  • The objective of the project
  • Brief description of the project
  • Roles and responsibilities of the applicant in that project in terms of 5 processes.
  • Tools and techniques used
  • Output of the project

Note: You can use abbreviations to describe the project since you have limited 500 characters. The following abbreviations can be used:

  • IN= Initiating
  • PL= Planning
  • EX= Executing
  • MC= Monitoring and Controlling
  • CL= Closing

Once you submit the application, PMI takes 5 to 7 days to approve or reject the application.
